How Travel Planning Works
Planning with Access Travel begins with a discovery conversation, where we listen to where you want to go and how you want the trip to feel. From there, your Access Expert designs a proposal, refines it with you, and handles the bookings, briefings, and logistics from start to finish.
You stay in your life. We do the work in the background. The goal is for the planning itself to feel as considered as the trip.
When to Start Planning
Most travelers begin three to six months before departure, though we also design last-minute trips when timing allows. For peak season journeys, including Africa safaris, Northern Lights travel, and European summers, we recommend reaching out six to nine months ahead so the strongest accommodations and guides are still available.
If the trip is more spontaneous, we will tell you honestly what is still possible and design something thoughtful within the time we have.
Costs and Expectations
Our journeys are priced based on the choices that go into them, the accommodations, the pace, the level of privacy, and the experiences you want included. We do not work from package pricing, because every itinerary is designed for one traveler or one group at a time.
During the consultation, we share clear pricing once we understand the scope. There are no hidden costs, no upsells, and no compromises on what we recommend. The investment reflects the experience, and our travelers consistently tell us the value shows up in the time and stress they get back.
Choosing a Destination
If you already know where you want to go, we build from there. If you are open, we ask about the feeling you want, the kind of pace you enjoy, and the experiences that have stayed with you, then we offer two or three destinations we think would suit you well, with the reasoning behind each.
The right destination is often less about the place itself and more about the season, the route through it, and the people guiding you on the ground.

A few things we encourage every traveler to think about before a trip. Build in time. The most memorable parts of a journey usually happen when nothing is scheduled. Trust the local experts we connect you with, since their knowledge is the real reason a destination opens up. And pack lighter than you think you need to. The right wardrobe is the one you actually wear.
